Job Overview

We are seeking a highly detail-oriented Bookkeeper and Admin Assistant to support the daily financial operations of a property management and subcontractor company. This role involves handling accounts payable/receivable, reconciliations, and administrative support while using QuickBooks Desktop, Rent Manager, and Microsoft Excel.

Key Responsibilities

  • Accounts Payable: Enter and code bills accurately in QuickBooks Desktop, ensuring all supporting documentation is complete.
  • Accounts Receivable: Create and issue invoices for both property management and subcontracting services using Rent Manager and accounting software.
  • Invoice Reconciliation: Match and reconcile invoices between QuickBooks Desktop and Rent Manager; investigate and resolve discrepancies.
  • Bank Reconciliation: Perform monthly bank and credit card reconciliations.
  • Record Keeping: Maintain organized and up-to-date financial records and reports.
  • Administrative Support: Assist with reports, spreadsheets, and internal coordination.
  • Vendor Communication: Work with vendors and internal teams to clarify billing or payment issues.
    

Required Skills & Qualifications

  • 2-3+ years of bookkeeping experience (experience in property management or subcontracting industries preferred)
  • Proficient in QuickBooks Desktop, Rent Manager, and Microsoft Excel
  • Strong understanding of standard accounting practices (AP/AR, reconciliation)
  • Exceptional accuracy and attention to detail
  • Analytical and problem-solving skills for financial data reconciliation 
  • Highly organized with excellent time management skills 
  • Strong communication skills, both written and verbal.  
  • Ability to work independently and handle sensitive information with discretion
