Job Overview
We are seeking a highly detail-oriented Bookkeeper and Admin Assistant to support the daily financial operations of a property management and subcontractor company. This role involves handling accounts payable/receivable, reconciliations, and administrative support while using QuickBooks Desktop, Rent Manager, and Microsoft Excel.
Key Responsibilities
- Accounts Payable: Enter and code bills accurately in QuickBooks Desktop, ensuring all supporting documentation is complete.
- Accounts Receivable: Create and issue invoices for both property management and subcontracting services using Rent Manager and accounting software.
- Invoice Reconciliation: Match and reconcile invoices between QuickBooks Desktop and Rent Manager; investigate and resolve discrepancies.
- Bank Reconciliation: Perform monthly bank and credit card reconciliations.
- Record Keeping: Maintain organized and up-to-date financial records and reports.
- Administrative Support: Assist with reports, spreadsheets, and internal coordination.
- Vendor Communication: Work with vendors and internal teams to clarify billing or payment issues.
Required Skills & Qualifications
- 2-3+ years of bookkeeping experience (experience in property management or subcontracting industries preferred)
- Proficient in QuickBooks Desktop, Rent Manager, and Microsoft Excel
- Strong understanding of standard accounting practices (AP/AR, reconciliation)
- Exceptional accuracy and attention to detail
- Analytical and problem-solving skills for financial data reconciliation
- Highly organized with excellent time management skills
- Strong communication skills, both written and verbal.
- Ability to work independently and handle sensitive information with discretion
