This is a hybrid position requiring 2 days a week, Tuesdays and Wednesdays, working from the office in Doral (and more during Latin GRAMMY season).

WHO WE’RE LOOKING FOR

The Staff Accountant will own the day-to-day accounting in Workday across A/P, A/R, bank reconciliations, and month-end close for a fast, events-driven organization. You are a clear and proactive communicator with strong ownership and accuracy under tight deadlines.

WHAT YOU'LL DO

You will be responsible for accounts payable, accounts receivables, travel expense reports processing, credit card management, bookkeeping accruals, performing bank reconciliations, and executing administrative responsibilities as assigned. Some responsibilities mirror two companies, the Latin Recording Academy and the Latin GRAMMY Cultural Foundation.

  • Review invoices/payment requests for accuracy, proper approvals, supporting documentation, appropriate IRS tax form usage, correct G/L/Cost Center/Project, etc.
  • Vendor verification: before setup/changes, confirm legal name, tax form (W-9/W-8), address, and payment/banking documentation; check for duplicates and route for approval.
  • Maintain supplier records in Workday (W9/W8, addresses, banking info).
  • Create and send customer invoices, apply payments and maintain aging, and follow up on past-due balances.
  • Distribute a weekly A/R aging to management with notes on next actions/ETAs.
  • Review T&E reports and corporate card reconciliations in Workday against policy. Coach employees and enforce compliance.
  • Track recurring charges and ensure timely month-end submission/approvals.
  • Prepare monthly bank reconciliations and investigate and clear reconciling items.
  • Analyze and reconcile membership activity in cooperation with the Membership department monthly.
  • Create JEs for accruals, reclasses, and adjustments. Maintain close checklists and supporting schedules.
  • Support annual external audit (PBC lists, samples, tie-outs).
  • Prepare 1099-NEC/MISC filings and maintain vendor tax documentation.
  • Keep vendor and customer master data accurate and current and maintain organized electronic filing of accounting documents in Workday and/or the approved shared repository per internal guidelines.
  • Document and improve SOPs. Help optimize Workday configurations/workflows (approvals, supplier request, expense policy rules).
  • Proactively communicate weekly plan/EOW summaries and same-day risk alerts.
  • Manage company cellphone program.
  • Assist in renewal of administrative permits, licenses, etc. as needed.
  • Update AP/AR policies when needed after proper review with supervisor.
  • Assist in other projects as assigned by supervisor and/or CFO.

SKILLS & EXPERIENCE

  • Bachelor’s degree in accounting.
  • 3-5 years of working experience in accounting.
  • Working knowledge of Workday Finance a plus.
  • Strong proficiency in Excel (PivotTables, SUMIFS/XLOOKUP, Power query).
  • Proven month-end close ownership, bank recs, A/P cycles, and A/R collections.
  • Clear written/verbal communication skills. Must be comfortable communicating with cross-functional partners and vendors.
  • Must be bilingual in English/Spanish with solid grammar and punctuation skills in both languages. Portuguese a plus.

SALARY AND BENEFITS

The starting salary for this position is $54,200 to $57,00 per year, benchmarked against industry standards. Salaries for positions required to be in specific geographic locations reflect the corresponding labor market.
